This notice explains how personal data is handled through the public MIZAN website and its website-enquiry workflow.

Scope of This Notice

This notice covers personal data processed through the public MIZAN website and website-related enquiry or contact interactions. It is not an all-purpose policy for employment, supplier onboarding, personnel administration or other processing outside this website context.

If a separate interaction requires its own privacy information, that information should be provided for that specific context.

Website Enquiry Workflow

Information is collected directly from you through the MIZAN website enquiry form. The secured website service validates and routes each accepted enquiry through MIZAN’s Microsoft 365 infrastructure to authorized MIZAN personnel according to the selected enquiry type and their operational responsibility.

The sender address for the internal notification is info@mizanmaritime.com. The website does not send an automatic acknowledgement to the person submitting the form, and submission does not constitute project acceptance, a quotation commitment or a guaranteed response time.

The website does not independently store enquiry message bodies in a separate database. The resulting Microsoft 365 correspondence is the launch operational record. Limited pseudonymous abuse-prevention state and minimal operational telemetry are maintained to secure and operate the endpoint.

Public attachment upload is not available at launch. The form accepts text fields only, and no document or file is transferred or stored.

The implemented site does not use analytics, advertising pixels, marketing trackers, embedded maps, newsletter subscriptions, non-essential cookies or browser storage. A cookie-consent banner is therefore not shown for the current feature set.

Personal Data in Website Enquiries

A website enquiry may include the following information supplied by the sender:

  • Name
  • Company or organization
  • Email address
  • Phone number, if provided
  • Country, if provided
  • Enquiry type
  • Project or equipment type, if provided
  • Enquiry and message content
  • Limited technical metadata reasonably required to secure and operate the submission endpoint

Why Enquiry Information May Be Used

Website-enquiry information is used only for purposes connected with the request and operation of the submission channel, including:

  • Receiving and responding to enquiries
  • Reviewing RFQ, project, product and service requirements
  • Evaluating potential technical or commercial engagement
  • Maintaining necessary commercial correspondence
  • Securing and operating the submission endpoint

Recipients and Transfers

Website enquiries are accessible only to authorized MIZAN personnel according to the enquiry type and their operational responsibility. Commercial, product and pre-sales technical enquiries are directed to the responsible Sales function; service and support enquiries to the responsible Service function; and partnership, supplier and general enquiries to the responsible Info function.

Microsoft Azure and Microsoft 365 provide technology and service infrastructure for the implemented workflow. Access by Microsoft and relevant subprocessors or support personnel may occur where necessary to provide and support those services under the applicable agreements.

The website uses globally delivered frontend infrastructure, regional backend, storage and logging services in North Europe, and Microsoft 365 and Exchange Online. MIZAN therefore does not represent that all processing remains exclusively in Türkiye or the EEA. Any transfer of personal data abroad must use an applicable mechanism under Article 9 of Law No. 6698 and the related rules. The final transfer mechanism and any required filing or documentation remain subject to legal approval before public launch.

Retention

The website does not independently store enquiry message bodies in a separate database. Accepted enquiries become Microsoft 365 correspondence and are retained only for the period required by the enquiry or an applicable obligation or documented hold.

Closed or general enquiries are reviewed at six months and deleted no later than twelve months after the last substantive contact unless a documented need or hold applies. Dormant commercial opportunities are reviewed at twelve months and may remain for no more than twenty-four months only while genuinely relevant. Active customer or project records move into the separately governed commercial or project record system.

Operational and security telemetry is retained for thirty days. Alignment of Exchange mailbox and correspondence retention with these periods remains subject to final operational and legal approval before public launch.

Your Rights Under KVKK

Under Article 11 of Law No. 6698, a data subject may apply to the data controller to:

  • Learn whether personal data is processed
  • Request information about processing
  • Learn the purpose of processing and whether data is used in accordance with that purpose
  • Know the third parties to whom personal data is transferred in Türkiye or abroad
  • Request correction of incomplete or inaccurate personal data
  • Request erasure or destruction where the conditions in Article 7 apply
  • Request that correction, erasure or destruction operations be notified to third parties to whom the data was transferred
  • Object to a result arising against the person through analysis performed exclusively by automated systems
  • Claim compensation for damage caused by unlawful processing
